How to Merge Duplicate Contacts

Clean up your Nimble database with these simple contact merging tips

Duplicates are bound to happen! Especially when you have a list of contacts in which some details don't align with the matching contacts within your database.

There are some fields Nimble will merge automatically to help avoid duplicates, based on the type of import you perform:

  • If you are importing a CSV file with contacts, Nimble will merge duplicates based on email address. On the third page of the CSV import process, you can choose to merge on name when email is not available.

  • If you are importing a CSV file with companies, Nimble will merge duplicates based on domain URL and email when there is no match by domain. On the third page of the CSV import process, you can choose to merge on domain or name when email is not available.

  • Contacts imported through social accounts will be merged based on social profile URL (social handle) and name.

  • Contacts imported through the mobile app will be merged based on phone number and name.

When contacts and companies are not automatically merged upon import, you can merge them manually using these features in Nimble:

Manually merging from the Contact List View

Nimble can merge up to five duplicate contacts at a time. To merge duplicate contacts, take the following steps:

  1. Go to your Contacts tab (list view) and select 2-5 duplicate records

  2. At the top of the list, select "Merge"

At the top of the pop-up window, you will see the options to choose the contact owner and the privacy options.

You will also see the option to only view conflicting data during the merging process. When you choose to show conflict only, it will only show conflicting changes. Deselecting this will show all fields on a contact record that you can edit.

During the merging process, you are able to choose which data should remain after merging the contacts. We automatically default to this option.

3. Go down the list to choose the correct modifiers.

4. When done, click "Merge Contacts".

Please note: If the option to "Merge" does not become active, then you may have selected to merge a contact and a company. This action cannot be performed in Nimble. 

Automatically Locate and Merge Duplicates

You can also merge duplicates in Nimble using the "Find/Merge Duplicates" option. To access this, take the following steps:

  1. Select a contact record you suspect has a duplicate

  2. Click on the arrow button next to "Edit" and select Find/Merge Duplicates 

  3. Select the duplicate contact(s) and click on Merge 

4. In the pop-up, you can choose the primary contact by selecting "Change Primary"

5. Now choose the contact and click "Merge Contacts"

6. Go down the list to choose the correct modifiers

4. When done, click "Merge Contacts"

Use the arrows to quickly jump to the next conflicting data. This is available when the "Conflicting Data" option is deselected.

This action can also be performed within the Nimble Prospector App.
